    Invoice Template for Microsoft Word

To make an invoice in Word, build a header with your business and client details, add a table for line items with quantity, rate and amount, then add subtotal, tax and total below it and save as PDF. Word works for occasional invoices; it does not calculate totals or track payments for you.

    Fields every invoice needs

    • The word Invoice, an invoice number and the issue date
    • Your business name, address, phone, email and license number if you have one
    • Client name and billing address
    • Line items with description, quantity, rate and amount
    • Subtotal, sales tax where it applies, and total due
    • Payment terms, due date and how to pay

    Build the layout in Word

Put your name and logo at the top, then the invoice number and dates in a small table on the right. Insert a table with four columns for description, quantity, rate and amount, and add rows for each line. Under the table, right-align subtotal, tax and total.

Word tables can do simple math with a formula field, but most people calculate totals by hand and double-check them. A single wrong total on an invoice is an easy way to start a dispute.

Save as PDF before you send

Send invoices as PDF so the layout cannot change and the client cannot edit the amounts by accident. In Word, use File, Save As and choose PDF.

When to move past a Word template

If you send more than a few invoices a month, a Word file means retyping details, tracking numbers by hand and chasing payments manually. MyInvoice builds the invoice from a short job description, calculates tax and totals, adds a card payment link and sends reminders. FAQ

    Common questions

Does Word have a free invoice template?

Word offers invoice templates in its template gallery in many versions. Availability depends on your version, so search the gallery for invoice, or build your own with a table as described above.

How do I make an invoice in Word?

Add a header with your details and the invoice number, insert a table for line items, add subtotal, tax and total underneath, then save the file as PDF.

    Can Word calculate invoice totals?

Word tables support basic formulas, but they do not update automatically as reliably as a spreadsheet or invoicing software. Many people calculate totals in a spreadsheet and paste them in.

Is a Word invoice acceptable to clients?

Yes, as long as it has the required details and is sent as a clear PDF. What matters is the content: itemized charges, dates, terms and how to pay.
