    Invoice Template for Excel

An Excel invoice works well because it calculates totals for you. Put quantity in one column, rate in the next, multiply them for the line amount, use SUM for the subtotal, multiply by your tax rate for sales tax, and add the two for the total. Save it as PDF before sending.

The formulas an Excel invoice needs
    CellFormulaWhat it does
Line amount (D12)=B12*C12Quantity times rate for one line
    Subtotal (D22)=SUM(D12:D21)Adds all line amounts
Sales tax (D23)=D22*0.07Subtotal times your tax rate, here 7%
    Total due (D24)=D22+D23Subtotal plus tax

    Set up the sheet

Use the top rows for your business details, the invoice number and the date. Leave a block of rows for line items with columns for description, quantity, rate and amount. Put the subtotal, tax and total below the amount column.

Keep the tax rate in one cell

Instead of typing 0.07 inside the formula, put the tax rate in its own cell and refer to it, for example =D22*$B$25. When the rate changes you edit one cell, and the invoice stays correct. Sales tax rules vary by state and by what you sell, so confirm what applies to you.

Number invoices and save as PDF

Save a copy of the file for each invoice with the number in the file name, such as Invoice-1042. Export to PDF before sending so the formulas are not visible and the amounts cannot be edited.

    Where spreadsheets fall short

A spreadsheet cannot send the invoice, take a card payment, show whether the client opened it or send reminders. If you spend more time managing files than doing work, MyInvoice handles numbering, tax, payment links and follow-ups. For a one-off invoice, our free invoice generator downloads a PDF in your browser with no sign-up.

    FAQ

    Common questions

How do I make an invoice in Excel?

Create a header with your details and invoice number, add columns for description, quantity, rate and amount, calculate each amount as quantity times rate, add the lines with SUM, calculate tax, and add it to get the total.

What formula calculates an invoice total in Excel?

Use =SUM(range) for the subtotal, multiply the subtotal by the tax rate for sales tax, and add the two. For example, subtotal in D22 and tax in D23 gives a total of =D22+D23.

How do I add sales tax to an Excel invoice?

Put your tax rate in its own cell, multiply the subtotal by it, and add the result to the subtotal. Check your state's rules for what is taxable.

How do I stop clients from editing an Excel invoice?

Export the invoice as PDF before sending. The PDF shows the final amounts without the formulas.

Is there a free alternative to an Excel invoice?

Yes. The free invoice generator on this site makes a PDF invoice in your browser with no sign-up, and totals and tax are calculated for you.
